I MISSED THE DEADLINE FOR PRE-RECORDING
You can still do the pre-recording. The deadline is extended to 20 August 2021. If you do not pre-record your presentation before or on 20 August you have to present live.
IS PRE-RECORDING REALLY NECESSARY?
We strongly recommend pre-recording your presentation because of the following:
- Due to the size of the congress, we have a very tight schedule, and we cannot afford any delays in the program.
- In case some technical error occurs during the congress, we still have your pre-recording to show to the audience.
- To assure everyone’s data usage and therefore the quality of the congress. Meaning, the pre-recordings are saved in the cloud and will therefore not use as much data from the speakers' end. This will result in a much more stable quality of your camera and microphone and will assure a pleasant experience for the audience.
In case you feel uncomfortable pre-recording via the platform, please feel free to share an MP4 file of your presentation. You can pre-record with ZOOM or PowerPoint. Please save it as an MP4 file and send it to info@wc11maastricht.org. Please always mention your session number, abstract ID, and your name when sharing the file.
You may also present live in case you are unable to do a pre-recording.
WILL THE SESSIONS BE RECORDED AND AVAILABLE ON-DEMAND?
During the WC11 Virtual Congress, Sessions and activities will occur at a scheduled date and time with live interaction opportunities available. All Scientific Sessions will be available on-demand to registrants for at least one month after the congress.
Poster sessions, as well as round table sessions where registrants are visible with a camera, will not be recorded due to the European GDPR Law.
POSTERS
WHAT ARE THE IMPORTANT DATES AND DEADLINES

10 August 2021
WC11 Virtual Event Platform opens
Between 10 and 20 August
Possibility for e-poster presenters to familiarize themselves with the WC11 Virtual Event Platform.
I MISSED THE SUBMISSION DEADLINE
The submission deadline was extended to 1 August and the organizers have been flexible with submission until the beginning of August. Unfortunately, at the moment we cannot longer accept any poster submissions. Posters not submitted around the beginning of August are not included in the program.
WHAT ARE THE POSTER NUMBERS ON THE PLATFORM?
All posters have been assigned with a poster number on the platform. The poster number can be found at the beginning of the title and can also be found on our website.
HOW DO I GET ACCESS TO THE SPEAKER DASHBOARD?
Access emails to all poster presenters have been sent. The environment is called Eureka.
If you did not receive an email from Eureka please contact us as soon as possible.
HOW WILL POSTERS BE PRESENTED?
- The poster sessions on Friday 27 August (6 PM-7.30 PM CEST) and Tuesday 31 August (5.15 PM-6.15 PM CEST) are live. You cannot make a pre-recording for the poster session.
- If you have recorded a poster video (part of your poster profile) this video is only a teaser for the session. This video will not be shown during the session (only in your poster profile).
- Unlike the parallel and keynote sessions, poster presentations will not be recorded. This is due to the type of room in which poster presentations take place. Participants are all visible here and according to the European GDPR law, we are then not allowed to record the session.
- You do not need to notify us if you cannot attend one or both sessions. Simply do not show up and your virtual room will remain closed. Participants can still ask questions via your poster profile.
- Even though you have already submitted your poster (which only applies to the poster profile), you will need to upload your poster as a PDF during the poster session itself. You need to upload this yourself when you are on the Eureka platform. You cannot use video or sound. We recommend looking around the platform beforehand and test it yourself. More instructions can be found here: http://support.conferences.cc/en/articles/4387612-host-dashboard
HOW TO PRESENT YOUR POSTER STEP BY STEP.
- You need to log in via your speaker dashboard. You have recently received this email from the Eureka platform.
- Use Google Chrome, another browser will probably give problems.
- If you can't find the link anymore, the link is: https://3rintransition.backend.get-eureka.com/login
- If you are logging in for the first time please use the email address you registered with and you may set your own password.
- The dashboard should show your poster. If this is not the case, please contact our support chat.
- Once you have clicked on the poster and are in the presentation area, upload your poster (PDF) or use the option to share your screen.
- Control whether the room is open or closed by using the Open room button in the bottom-left corner. The attendees can only access the room when it is open. If you close the room when there are attendees in it, they will receive a notification saying that the room is closed.
- Wait patiently for participants to enter your room and answer any questions.
- Please note that these sessions are not recorded.
- If you missed any questions, you may answer them in the chat.
We have a lot of participants but also a lot of posters. There is unfortunately a chance that your poster will not be visited. If you would still like to provide a video, so that we can add it to your poster later, please send us your video link (via YouTube or Vimeo) and we will be happy to upload it.
CAN YOU PRESENT YOUR POSTER OUTSIDE THE POSTER SESSION HOURS?
You may also present your poster to interested participants outside of the poster session hours. This can be done by scheduling a 1 on 1 meeting with the interested participant. How to schedule a 1 on 1 meeting can be read here: https://support.conferences.cc/en/articles/4387694-one-to-one-private-video-meetings
CAN I CHANGE MY SESSION TIME, POSTER TITLE, OR POSTER PRESENTER?
Unfortunately, now that the platform is live, we can no longer make changes to titles, posters, speakers, and times. Please note that you may use an updated poster during your poster session, as you will need to re-share it yourself during the session.
USE GOOGLE CHROME
We strongly advise everyone to use Google Chrome as the web browser. This is the most compatible with the platform.
MY POSTER IS NOT VISIBLE IN THE VIRTUAL EVENT PLATFORM OR GIVES AN ERROR
Please notify us and resend your poster in PDF format to info@wc11maastricht.org.
REGISTRATION
I REGISTERED BUT I CAN'T ACCESS THE PLATFORM DIRECTLY
When you register, you do not automatically gain access to the WC11 Virtual Event Platform. The organization will have to manually upload your data into the platform after which you will receive an email notification from the platform. As of August 20, 2021, the organization will upload the new participants once a day.
The next upload will be done on Sunday 22 August 2021.
